Sagicor Group Jamaica Limited is seeking a suitable candidate to join our Shared Services IT team in the capacity of: Administrative Assistant (5-Months Contract)
Location: Kingston
As an Administrative Assistant, you will:
- Provide secretarial and administrative support to the Assistant Vice President, at a level that will enhance the effective operation of the Shared Services IT, Jamaica department.
- Assist with the scheduling and planning of department activities.
- Provide secretarial support to the Assistant Vice President (AVP):
- Prepare response to correspondence.
- Log and track outstanding matters requiring the Assistant Vice President’s attention.
- Maintain files for the various committees on which the AVP serves.
- Arrange meetings – internal and external.
- Document meeting minutes.
- Assist department team members with the reporting of defective equipment.
- Ensure adequate feedback until effect is resolved.
- Ensure that vacation leave, sick leave or any other leave and relevant events are communicated to all members of the Shared Services IT team.
- Prepare order and requisition for department supplies.
- Prepare requisitions for orders related to payments and for items requested by team members.
- Periodically reassess and update department related and team member documents.
- Organize and execute plans to accommodate team members for monthly department meetings.
- Organize and execute plans geared towards quarterly events.
- Organize and plan departmental social activities.
- Perform other related duties assigned from time to time.
What do you need?
- A minimum of six (6) CSEC subjects including English Language and Mathematics.
- At least two (2) years working experience in a similar role.
- Good attitude to customer service and teamwork
- Ability to communicate effectively.
- Proficiency in computer software packages including Microsoft suite of products.
- High degree of interpersonal skills including tact and confidentiality.
- Basic knowledge of life insurance sales.
- Good organizational, problem-solving, and project management skills and a high level of initiative and flexibility.
